Accounting Software for Small Shops: Free or Paid?

Accounting software for small shops: is free enough, mobile vs desktop vs Excel, the daily cash-drawer close, and e-invoicing in Egypt and Saudi Arabia.

· 10 min read · Mindshift Team

Good accounting software for small shops records every sale and every purchase, knows the stock you hold, and closes the cash drawer at the end of the day without a gap nobody owns. Free software can be enough for a small shop at the start, as long as it does those things and lets you export your data. Paid software earns its cost once you have more than one employee, a large stock, or an e-invoicing obligation. And choose by the kind of shop you run, not by the advert.

TL;DR: Before you download anything, ask five questions. Does it record sales, purchases and stock together? Does it close the drawer daily under a named person? Does it run on the device you actually use, phone or computer? Does it issue tax-compliant invoices in your country if you are obliged to? And can you export your data if you want to switch? Stay away from cracked copies. And remember that some shops, such as pharmacies and gold shops, have needs that general software does not cover.

What should accounting software for a shop actually do?

Shop accounting software does not have to be as complex as an enterprise system, but it must cover the full loop of the shop's money and goods; in practice that means accounting and inventory together. These are the essentials:

  1. Sales and invoices: every sale recorded with an invoice, whether cash, card or transfer.
  2. Purchases and suppliers: what came in, from whom, and what you still owe the supplier.
  3. Stock: every item and its quantity, reduced automatically with each sale. With more than one storeroom, you need accounting and warehouse software.
  4. Point of sale: a fast selling screen, usually with a barcode scanner.
  5. The daily cash drawer: the opening balance, what came in and went out, and what should be there at closing.
  6. Customer credit: which customers owe money, how much, and since when.
  7. Reports: daily and monthly sales, best sellers, and profit.

Simple accounting software that does those seven things beats a complete package with a hundred screens nobody uses. Many people search separately for invoicing software, a cashier app or POS software, as if they were different things. Ask whether they are connected, or whether you will key the same data in twice.

Is there free accounting software good enough for a shop?

Yes, there are several kinds of free accounting software, but "free" means different things. This table shows the difference before you download anything:

Type Fits The risk Ask before you start
A ready or home-made Excel sheet A small shop run by its owner Anyone can edit any cell, with no log Who maintains the sheet, and where is the backup?
A free tier of cloud software A shop starting out and testing Limits appear as you grow What are the limits, and what does it cost beyond them?
A trial of paid software Comparing before you buy Data may be wiped after the trial Can I keep my data if I subscribe?
Open-source software A shop with someone technical Installing and updating is on you Who installs, updates and backs it up?
A cracked copy of paid software No shop Malware, data at risk, no updates or support Avoid it entirely

Software advertised as "free for life" may well be, but read the terms: what is free, what you will pay for later, and whether you can take your data out. The most important question about any free option is: if I leave tomorrow, can I take my data with me?

Mobile, desktop or cloud?

Before you download free accounting software for your phone or PC, decide where you will actually work: an Android phone, an iPhone or the shop computer. That decides the type of software:

  • Installed on a computer: works without internet, but the data lives on that one machine. If it breaks and there is no backup, the books are gone.
  • A phone-only app: quick and easy for a very small shop, but ask where the data is stored and whether more than one employee can use it.
  • Cloud accounting software: runs in the browser on phone and computer at once, and the owner can follow along from outside. Ask what happens when the internet drops, and whether sales continue and sync later.

Excel accounting for shops: when is it enough, and how do you build it?

If your shop is small and you are the one behind the counter, you can build a simple accounting workbook in Excel yourself. The steps:

  1. An items sheet: item code, name, cost price, selling price and quantity.
  2. A sales sheet: date, item, quantity, price and payment method, one sale per row.
  3. A purchases sheet: date, supplier, item, quantity, cost, paid and outstanding.
  4. A cash sheet: opening balance, cash sales, expenses, and what should be in the drawer at closing.
  5. Stock formulas: current quantity = opening quantity + purchases − sales, for each item.

Excel stops working when more than one person writes in the sheet, because you can no longer tell who changed what. It also stops working as sales grow, because keying every sale by hand takes the customer's time. At that point software saves more than it costs.

Cash drawer short at the end of the day? How to close properly

Most shop owners looking for daily accounting software are looking for an answer to exactly this. A proper daily close, with software or without, goes like this:

  1. Start from a known balance: the cashier takes over the drawer in the morning with an amount recorded in their name.
  2. Record every movement when it happens: every sale, every expense, every note that leaves the drawer.
  3. Separate payment methods: cash on its own, cards on their own, transfers on their own, so you do not count money that was never in the drawer.
  4. Count at closing and compare: what the record says should be there, and what actually is.
  5. Find the reason for any gap today: not at the end of the month. The gap is recorded against whoever ran the shift.

If gaps keep appearing and nobody knows why, the drawer is usually not held by a named person, or movements are happening without being recorded. In a gold shop the safe also holds scrap and deposits, which we cover in closing the safe daily.

Tax and e-invoicing in Egypt and Saudi Arabia

If your shop is required to issue e-invoices or e-receipts, the software has to handle it:

  • In Egypt: the Egyptian Tax Authority publishes a guide to its e-invoicing system (in Arabic) and an inquiry service for taxpayers required to issue e-invoices and e-receipts. It also publishes an official eInvoicing and eReceipt SDK documenting the APIs for taxpayer ERP and POS systems.
  • In Saudi Arabia: the Zakat, Tax and Customs Authority rolled out e-invoicing (Fatoorah) in two phases, the first from 4 December 2021 and the second from 1 January 2023. If you are looking for the best accounting software in Saudi Arabia, start there: ask any vendor to show how its software meets the authority's requirements.

In both cases, ask your accountant first whether you are obliged and from when, then choose the software, not the other way round. The same applies if you are looking for VAT accounting software.

Accounting software by type of shop

There is no single ideal program for every shop. What you sell changes what you need:

Type of shop What the software must understand
Supermarket or grocery Many items, a fast barcode till, and expiry dates
Pharmacy Expiry dates and batches, and substitute items
Car parts or workshop Part codes and models, and workshop jobs alongside sales
Restaurant or café Orders, dine-in and delivery, and recipe costing
Clothing shop Sizes and colours for each style
Gold and jewellery shop Grams and karats, today's price, workmanship, scrap and the workshop

General software can carry most of these shops at first. But a gold shop sells in a completely different way: the price is calculated every day from weight, karat price and workmanship. That is why we wrote a separate guide to gold shop management software.

Who is Tibr for?

Tibr is not accounting software for every shop. It is management software for gold and jewellery shops only, from Mindshift. If you run a supermarket or a pharmacy, Tibr is not the right fit; use the questions above to choose software that suits your shop.

If you run a gold shop, the Tibr page describes one place for the treasury, gold, traders and workshops: barcode selling, stock by karat (18, 21 and 24), a named cash-drawer handover per cashier, customer credit, and reports on assets, liabilities and profit. Every transaction is recorded as a money movement and a gold movement together, nothing is deleted, and any correction is made with a reversing entry. You can try it free on ready-made demo data with no card from the sign-up page. And how a gold shop closes its gold ledger and cash ledger every day is covered in gold shop accounting.

FAQ

Is there free accounting software?

Yes: Excel templates, free tiers of cloud software, trial versions and open-source programs. Choose one that records sales, purchases, stock and the cash drawer together, and make sure you can export your data if you want to switch.

What is the best accounting software for a small business?

No single program is best for everyone. The best one for your shop understands what you sell, closes the drawer daily, runs on the device you use, and complies with tax rules in your country if you are obliged. Try two or three on real data from your shop before deciding.

Should I use a cracked copy of accounting software?

No. Cracked copies can carry malware that steals or wipes your data, and there are no updates or support when something goes wrong. Using them also breaches the licence terms. Legitimate free software is far safer.

What is the difference between accounting software and POS software?

POS software records the sale at the till. Accounting software brings sales together with purchases, stock, expenses and the cash drawer and works out the profit. In a small shop it is best if they are one program, or connected, so you do not enter data twice.

Mobile or desktop accounting software: which is better for a shop?

If you run the shop alone, a phone may be enough. If there is a cashier and the owner wants to follow from outside, cloud software that works on both fits better. Either way, ask where the data is stored and what happens when the internet drops.

How much does accounting software for a shop cost?

It varies widely: some is free, some is a monthly or annual subscription, and some is a one-off purchase with update fees. Compare the cost over a full year rather than the first month, and add setup and training. For reference only: Tibr, which is for gold shops specifically, has a Pro plan at 499 EGP per month.

Is Tibr accounting software for any shop?

No. Tibr is built for gold and jewellery shops only, because it is designed around selling by gram, karat, workmanship, scrap and the workshop. If your shop is not a gold shop, use the questions in this guide to choose suitable general software.
